Once you've created a venue hire, the next step is to create and send the hirer an invoice. To create a venue hire, click here



1. Go to Main Menu select Venue Hire click on Current


2. Use Search by entering the venue hire purpose / hirer organisation and select Edit 





3. Select the Fees tab in the Venue Hire / Hire 



4. In the Quote pane select Edit to change the Biller Receipt, set an Expiry Date or to include a Message. 



5. Select + Add schedule to create an invoice. For regular hires, you may want to create multiple schedules as a way to bill on a monthly or quarterly basis. You want to create a schedule to create an invoice for the bond. As per the screenshot. 




6. For the Bond select on the button


7. Select Type - Flat Rate include Item Details , bond for the room / cost of keys, Internal Note, Provide additional information only visible on the backend, Total Amount, Includes GST



8. Add room hire session costs to each schedule ie. October 2021 by selecting on the arrow from the pricing tables. You can select from the Global Pricing Table or the Location Space Pricing Table. To add venue pricing select here


Use Location Space Pricing if a room has a special price ie auditorium that's different from regular room hire pricing



8. Use the drop down list to select the Schedule and then select the session dates / times 





9. Once you've assigned session items use the pencil to edit or x to delete each item




10. Once satisfied with the schedule select Create to generate a draft invoice, select Issue 



11. The Fees section will display the invoice with Unpaid and a Invoice No select on the pencil icon to be taken to the Issued Invoice 



12.  At the Issued Invoice select Send Email or Download to print a copy. When selecting Send Invoice the following window will be displayed showing the Invoice No, and Biller Details. You can edit the Biller, Venue Hire Organisation, Name, Email, Subject and Message, before sending the email. Select Send



13. The invoice will have a Sent Label 




14. The venue hirer will receive the emailed invoice and they select View Invoice or To view or download a copy of this invoice go to: url








15. They can pay the invoice by credit card or download the invoice and use another payment option  by selecting Pay Balance or PDF




16. If they pay by credit card they can download a receipt under the Payment History
