The Case File acts as a container for your sessions and client data


  1. Navigate to the Main Menu and select Case File.

  2. Select Add Case File

  3. In the configuration window, enter the following:

    1. Status ie. select Open

    2. DEX Case ID ie. Leave Blank. The system will automatically generate a unique, non-identifiable ID

    3. Outlet Activity: Choose your specific program (e.g., Healthy Living Centre)

    4. Client Attendance Profile Select the relationship type (e.g., Family or Peer Support Group).

    5. Name Give the case a descriptive title (e.g., Housing Assistance).

    6. Overview ie. Briefly describe the goal (e.g., Apply for Social Housing).

    7. Select Add

  4. Go to the Client tab

  5. Select Add Client 

  6. Add Client window, define the client's entry context:

    1. Select Participant ie Choose the specific individual to add

    2. Referral source Identify who referred the client (e.g., Health agency)

    3. Primary Reason for Assistance Select the main outcome domain (e.g., Housing).

    4. Other Reasons for Assistance ie. elect secondary needs (e.g., Material Wellbeing). 

        7. Select Add


Sessions link your daily activities to formal reporting and outcome measurements.


  1. Go to the Sessions tab

  2. In the Sessions pane, select + Add

    1. Enter Session ID ie unique number

    2. Date / Time ie 26/06/2025 11:00 am

    3. Duration ie 90 min

    4. Select Add 

  3. Select on the Session, move cursor select on the session date

  1. In the Participants pane select +Add

  1. The Sessions Participant window will be displayed

    1.  In Participants select either Client or Support Person

    2.  Enter Internal Referral

    3.  Enter External Referral

    4. Select Add

  2. Select on the person’s name ie Madison Hellyer


Scoring is the tool that transforms your daily activity into measurable evidence of how a client's life has actually improved



  1. The Assessment pane will be created 

  2. In the Participants pane labels will show R - Referral (Blue means Complete), C - Circumstances, Goals and Satisfaction (Red means yet to complete)

  1. To SCORE select the pencil for

    1. Circumstances, enter a Pre-session and Post-session for relevant domains

    2. Goals,  enter a Pre-session and Post-session for relevant goals

    3. Satisfaction, enter the relevant Listened, Received, Improved indicators and 

    4. Assessed by ie.SCORE directly - practitioner 

  2.  Notes, to record select the + Add

  1. The Add Participant Notes Window will be displayed, enter

    1. Date/time ie 26/06/2025 11:00 am

    2. Title ie Housing Application Lodged

    3. Description ie Completed all the Housing Details required

    4. Labels type and press enter ie Housing

    5. Select Add 

  2. Go to the Notes pane

  1. Case File Notes History will be displayed. Select on pencil to edit or x to delete
