1.  Go to the Venue Promotion page. As the booking process is a work in progress. Go to the Visit Home Page. 


Then add the word Spaces



2. The Venue Promotion page shows the Centre and Space tiles. 




3. When a space tile is selected, the user can view images, read the space description and they can check space availability using the calendar.  To book they select on Enquire



4.  A user enters their  primary contact details such as name, contact details and residential address


5. If the user is booking on behalf of an organisation they select Entity Booking. Tick Yes, I am booking on behalf of group or entity. The person has to enter the group name, ABN. 


6. A user has the options to select Entity is an incorporated association, Entity is a Not for Profit, and Entity is a Registered Training Organisation


7. A user can enter their Insurance Coverage and the Biller or Accounts Payable Contact Details. 


8. The Booking shows the Site and Space name. The user enters the - first Hire Date, Start and End Time, Purpose of Hire and How many people will be attending.  


9. The user can tick the options -  Items will need to be stored at the location prior to or after the hire and Equipment will be hired for use during the hire.


10 In Additional Info a person can enter further requirements to the hire organisation. 



11. The person selects Register your interest 


12. The Hirer will receive an email with a summary of the booking information entered in Social Planet. 


13. An email notification will be sent to the hire organization with the hire's  booking information and a link to their Booking Request in Social Planet. 



14. The Booking will appear in Requests > Current. Review the booking request, labels New and In Progress alerts along with the labels Venue Hire Enquiry and Frontend.  Click on the label not linked



15. The system will use the Entity Name and ABN to check to see if the Entity already exists.  



16. When the entity has been assigned to the booking the label will change to Action Required. Select Actions choose 


Update Status - change the booking status to New, Action Required, Done,  Archived


Change Details - edit the Purpose Of Hire, Comments made by Hirer, Hire Agreement,  Liability Insurance, Hire Space


Create venue hire - use the booking information and create a hire within the system. 


Unlink Entity - if the booking is linked  to incorrect entity or client. Then unlink 




17. When Create venue hire is chosen. The Enquiry form will appear. Enter a buffer before or after session.  Then select Create sessions and payment schedule, review and enter further content in the Additional Information section. Select Add



18. The booking tile updates with the labels - Approved and Done



19. Go to Main Menu, select Venue Hire and click on Current to process the venue hire booking.
