Social Planet saves you time by giving you a clone option.  Perfect if the class or activity commences again from one term to the next. No longer do you need to create the activity again, when you clone the activity, the Activity Description, Image and Ticket Price Information gets copied to a future time as a new class/activity. 

  1. Go to Main Menu, select Activities, then click on Current 
  2. Enter the Activity Name in the Search Bar, when the Activity Tile is displayed, click on the Actions button, select Clone 
  3. The Clone Activity Promotion page will be displayed, review key information,. delete Copy of and change  the Internal Name to the new term period
  4. Keep ticked copy tickets, copy team members, and copy notes 
  5. Add Sessions, select the session dates based on the recurring date pattern
  6. When calendar dates are selected, the date will be displayed as Orange, check the Session Time and Duration, Review the session dates to ensure they are correct then select Add Activity button.
  7. The Activity Summary will be displayed, choose the Sessions Tab 
  8. Count the number of sessions that make up the term class eg 13 sessions  
  9. Then go to the Settings tab 
  10. Then edit the Ticket Package change to the new Term 4  2022 and enter in the sessions, keep ticked Is Enabled and Package is visible to the public. 
  11. Go to the Details tab Publishing pane and select the Edit button. 
  12.  In the Publishing pane select Edit
  13. Change the Publish Status from Draft to Published, enter today’s date for the start date, then in the end date, add the end of the Term 
  14. Remember to archive the activity that you've just cloned, go to Main Menu select Activities, select Current, select Edit  go to Publishing, select Edit and select Archive status

 

Next we need to create the Subject Unit for this new class 


15. Go to Main Menu, select Education, then select Parent Subject

 


16. Select Filter Timeline by Activity Period and enter the Course Name in the Search 



17. The Subject Unit tile will appear then select Edit




 

18. In the Subject Units pane select + Add




19. Enter in the Subject Unit 

  1. include in the Unit Name the Term ie Basic Computers and Beyond Term 4  
  2. enter the course name in the VET Reported Name as per the delivery plan 
  3. add the VET code ie 20ALNEAL1 as reflected in the delivery plan
  4. enter the Scheduled Hours, Start and End Dates, keep the Subject Field the same, 
  5. keep selected Yes if its vocational training, No if it's not part of the VET in Schools Program,
  6. Review Delivery Location and Delivery Method
  7. Tick Yes if its to be Included in AVETMISS reporting
  8. Select Add 


                The new subject unit has been added 

 


20. Go to Main Menu, go to Activities, select Current, enter the Class Name in Search field


21. Select the Edit button above the Activity Tile, go the Details tab, scroll down to the Subject Units for Enrolment pane


22 Then add + Link Subject Unit window will be displayed, scroll down to the bottom and select Subject Unit. Press Add 

 



Roll Clients from the old Term to the New Term


23. Go to Main Menu select Activities and then Archived 



                24. Then Edit the Activity




            25. Select the Requests tab and select all the participants that will be attending the new term




24. Once all participants are selected click on Rollover to new activity



25. The Rollover Request Multi window select the Status ie Approved and select the ticket option and then select Rollover
