As a provider you will want to create report on all of your groups and events, not just ACFE funded courses.  To do this, you need to link your activity to an activity subject. There are a number of steps to generate reports 

 

  1. Set up your Activity/Event 
  2. Create your Ticket Package
  3. Add your Ticket prices 
  4. Create a parent subject 
  5. Go to Main Menu, select Education click on Parent Subjects 
  6. Select the Reporting Year and select Update
  7. Select Add Parent Subject +
  8. Add the Parent Subject Name ie the activity/event name
  9. Add the Parent Subject Code ie a simple code that is clearly distinguishable from an ACFE code
  10. Total hours, if the activity runs across four terms, add the total hours
  11. Initial subject unit name ie. it can be the same as the parent subject (add T1 to denote the term)
  12. Add the Subject Unit Code ie it can be the same as the parent subject (add T1 to denote the term)
  13. Start date when the activity will commence
  14. End date when the activity will finish
  15. Nominal hours, only add the hours for the current term (particularly if its an ongoing activity)
  16. Subject Field, eg. ignore this field 
  17. Tick No as the activity Is NOT intended to be vocational training? 
  18. Tick No as the activity Is NOT part of a VET in Schools Program? 
  19. Delivery Location, select from the drop-down list of Existing delivery locations or add a new delivery location
  20. Delivery Method select
  21. Internal delivery, Select this option Is classroom based training where the students and teacher are using a permanent training delivery location
  22. External delivery, Ignore this option Is where the training is delivered online and where the student undertakes training in their own time with educational materials being provided.  
  23. Workplace-based, Ignore this option This is where training is delivered in the workplace  and can encompass work experience, field placement, fully on-the-job training or structured workplace training delivered at a place of employment.
  24. Select NO to Include in reporting as you DO NOT want to report your activity to the Skills Victoria Training System (SVTS) through an AVETMISS NAT File.
  25. Ensure the colour of the Report Year ie 2020 is in Red
  26. Go to Main Menu, then select Activities, enter the Activity Name in the Search Field, above the Activity Tile select the Edit button 
  27. In the Activity Summary go to the Details tabscroll down to Subject Link pane, select the Subject Link button. 
  28. On the Default Subject Unit, scroll down the drop-down list and select the Subject Unit Name. 

 

To generate good quality reports about your participants, such as their gender, age, ethnicity. You need to ensure demographic information is added into their profile. 

 

  1. Go to the Main Menu, select Clients, click on Client List
  2. Select the edit button above the Client tile
  3. On the  Details tab within the Profile summary, select edit on Personal Info.
  4. The Update Info window will be displayed, enter in the Client’s Birthdate, Birthplace, Primary Language, Gender, Indigenous Status, How did you hear about us?

 

 

When a participant is booked into activity and assigned to activity session. You can view reports. 

 

5. Go to Main Menu, select Reports, click on Education 

6. Select Reports such as Student Age, Student Count, Student Gender, Student Age, Student Count, Student Gender, Student Post-code.
