Most ACFE classes are delivered multiple times across a year, they are often delivered from Term One through to Term Four. To accommodate this requirement, its necessary to create a Parent Subject which then is duplicated for each term the ACFE class is delivered. As a Parent Subject we set the Start and End Date to cover the Full-Term Year.
1 Go to Main Menu, select Education click on Parent Subjects
2. Select the Add Parent Subject +
3. The Add New Subject window will be displayed
4. Add the Parent Subject Name ie the activity/event name
5. Add the Parent Subject Code ie use local course codes based on your delivery plan
6. Total hours, if the activity runs across four terms, add the total hours
7. Add the default VET Subject Stream and Category, for more info select HERE
8. Keep Yes as a default vocation status
9. Initial Subject Unit name ie. A subject unit name clearly identifies what the subject unit is and what is being taught If instruction is specific per term, include the term the subject unit is for in the name. (add T1 to denote the term)
10. VET Reported Name use the course name from the delivery plan, don't include any term references ie - T2
10. Add the VET Code ie Code is alphanumeric and must not contain spaces. Code has maximum length of 10 characters. Copy the code from the Parent Subject
11.Nominal hours, The number of contact hours the student is expected to receive between the start date and end date for a subject unit
12.Start date when the activity will commence
13. End date when the activity will finish
14. Subject Field, eg. Select the area of study the subject will cover in the Class
15. Delivery Location, select from the drop-down list of VET delivery locations, if the room / location isn't available, watch video VET Account Settings select HERE
16. Delivery Method select
- Internal delivery, Select this option Is classroom based training where the students and teacher are using a permanent training delivery location
- External delivery, Is where the training is delivered online and where the student undertakes training in their own time with educational materials being provided.
- Workplace-based, Ignore this option This is where training is delivered in the workplace and can encompass work experience, field placement, fully on-the-job training or structured workplace training delivered at a place of employment.
17. Primary Method of Delivery – select from Internal, External and Workplace as the primary option for course delivery.
18. Tuition Fee, is the rate that the student is charged for the course
19. Other Fees, a field that captures any other fees/cost levied
20. Default Funding - National, identifies the predominant national source of funding, defaulted to 11 - Commonwealth and State general purpose recurrent
21. Default Funding - State identifies identifies the state source of funding for the course, defaulted to ACE as organisations using the system are Adult Community Education providers.
22. Tick Yes as the activity Is intended to be vocational training? Vocational" intent is where the training program is intended to develop relevant skills for the workplace.
23. Tick No as the activity Is part of a VET in Schools Program? A VET in Schools Program is a subject unit that is undertaken as part of a senior secondary certificate
24. Select YES to Include in AVETMISS reporting as you want to report your activity to the Skills Victoria Training System (SVTS)
25. Select the Add button
26. The Subject Unit Pane will display the Parent Subject Unit and the Subject Units. To change select Edit the Parent

27. The initial Subject Unit will appear in the Subject Unit Pane to edit select View to delete select X
