^ Ensure the code is correct and doesn’t already exist.

Start Date: 03/02/2020

End Date: 23/03/2020

^ Be sure to review the dates as they may change due to scheduling.

Nominal Scheduled Hours: 24

^ This is the number of hours an individual student will attend for a single term.

Field: 120199 – General Education Programmes

Is this intended to be vocational training? Yes (for ACFE classes)

Since Parent Subjects and Subjects Units are decided upon at the start of the year, it is recommended to create them all at the same time for the entire year.

Once finished you should have all the Parent Units in Social Planet.

Within each Parent Unit should be Subject Units for terms 1 to 4.

^ During each term you can review each Subject Unit to ensure the details are still correct.

2.a

Create Activity Promotion

Activity Type: Class / Training (for ACFE classes)

Capacity: 20

^ This should be the maximum number of students that can attend a class.

Publish Status: Publish

Publish Start: 01/01/2020

^ When will the activity become visible on the website

Publish End: 23/03/2020

^ When will the activity no longer be visible on the website

Subject Units for Enrolment: click add and select the correct Subject Unit

^ Total hours is the combined number of hours that are allowed to be allocated for this class for the terms 1 to term 4.

 

2.b

Link Activity Promotion to Subject Unit

 ‘Subject Units for enrolment’ can be found on the ‘Details’ tab when editing an activity.

Click ‘+Add Subject Unit’ button.

Select the correct Subject Unit from the drop down list.

^ Each approved booking in this activity will create an enrolment for the Subject Unit.

 

2.c

Select Booking Options

Booking options are found on the ‘Settings’ tab when editing an activity.

Booking Process Type: Booking after confirmation

Enrolment Type: ACFE or VET Enrolment

 

2.d

Configure Ticket Package

Click ‘Edit’ button to modify a Ticket Package.

 ‘Number of sessions in package’ is the number of individual days the student is going to attend.

‘Package is visible to the public’ when checked allows clients to select tickets from this package.

 

2.e

Configure Tickets

Click ‘+Add ticket’ button to add a ticket to the package.

Ticket Type: ACFE / Learn Local (for ACFE classes)

The ‘Advertised Price’ is the dollar value that the client sees when making a booking.

 

2.f

Activities should be created for each of the Subject Units.

You can save time by using the ‘Clone’ action.

To do this find the activity you wish to clone from the activity list.

Once located, click on the ‘Actions’ button and select ‘Clone’.

3.a

Student Info

Ensure each client has a Student ID.

 

3.b

Marking Attendance

Go to the ‘Attendance Sheet’ tab when editing an activity.

The students will be listed by Last name, First name in alphabetical order.

 

 

3.c

Recording Outcomes

Outcomes can be updated on the Subject Unit page where a list of student enrolments is visible.

Select one or more students by clicking on the checkboxes.

Click on ‘Set Outcome’ button at the bottom of the enrolment list.

4.a

Prepare AVETMISS Report

Go to ‘Reports’ -> ‘Education’ -> ‘AVETMISS’ to view the AVETMISS Report.

This report will show all the records that will be uploaded into SVTS.

If a record has incomplete information or errors a number will appear next to the record.

Clicking on the number will allow you to update any invalid fields.

Once there are no more errors you can download the files and attempt an upload.

^ Records are revalidated frequently. It is a good habit to visit this report weekly and attempt to resolve any errors as early as possible.

If SVTS detects any errors, you can download a copy of the error as a report.

Correct any errors the SVTS identifies.

^ If you are unsure how to resolve an error send the report to us and we will help you.

Reporting Checklist

  1. Parent Subject codes and names are correct
  2. Subject Unit codes names are correct
  3. Subject Units are linked to Activities correctly
  4. Subject Unit start and end dates are correct
  5. Subject Unit hours are correct
  6. Students are enrolled in the correct Subject Unit
  7. VET mandatory fields are completed
  8. Outcomes have been set for all enrolments

^ Reviewing this checklist on a regular basis throughout the term will ensure a smoother and simple process when it comes to reporting time at the end of the term.
